Introduction

The Oxford Institute is a trading name of Oxbridge Education Network Limited (company number 8394108), registered at 255 Walsall Road, WS10 9SQ, United Kingdom.

By completing a booking and paying either the deposit or full programme fees, the student participant and their parent/legal guardian agree to be bound by these Terms & Conditions (“Contract”). Please read carefully and seek independent advice if necessary.

1. Definitions

  • Student – a participant in The Oxford Institute programme. For minors, this includes their parent(s) or legal guardian(s).
  • Course – the programme booked, including all scheduled activities, excursions, and associated arrangements.
  • Booking Confirmation Payment – the initial deposit or full payment required to secure a place.
  • Campuses – University of Oxford, Oxford Brookes University, and other authorised venues used during the Course.
  • External Programmes – any international or partner-led programmes organised by third parties with whom Oxbridge Education Network Limited collaborates.

2. Acceptance and Changes

2.1 By making a booking, the Student and parent/legal guardian confirm that they understand and accept this Contract.

2.2 No changes to this Contract are valid unless agreed in writing by Oxbridge Education Network Limited and the Student or parent/legal guardian.

2.3 Oxbridge Education Network Limited may make changes to programme content, schedule, venues, instructors, or staff due to operational reasons. These changes do not entitle the Student to a refund.

3. Booking and Payment

3.1 To confirm a place, a non-refundable deposit is required. This deposit is fully non-refundable under all circumstances.

3.2 The full fee schedule will be outlined on the invoice and must be paid in accordance with the payment deadlines to retain the booking.

3.3 The remaining balance must be paid at least 100 days before the Course starts. Bookings made less than 100 days before the Course start date require full payment upon booking.

3.4 All payments must be made in GBP, net of any fees or charges.

3.5 Failure to pay the balance on time may result in cancellation of the booking; the non-refundable deposit will be retained.

3.6 Refunds for cancellations by the Student (for the balance only) will be considered as follows:

  • 120+ days before start – up to 100% of the balance refunded (excluding the non-refundable deposit and any non-recoverable costs)
  • 45–119 days before start – partial refund of the balance (at Oxbridge Education Network Limited’s discretion)
  • 44 days or less before start – no refund of the balance

3.7 Cooling-off period – Students and parents/legal guardians have the right to cancel within 14 days of enrolment for a full refund of the balance only, provided the Course has not yet started. The non-refundable deposit remains fully non-refundable.

4. Refunds, Cancellations, and Postponements

4.1 Refunds are not guaranteed. Any refund is at the absolute discretion of Oxbridge Education Network Limited, taking into account non-recoverable costs.

4.2 Cancellation by Student – Refunds for cancellations before the Course may be considered only in exceptional circumstances. Fees are non-refundable once the Course has started.

4.3 Cancellation by Provider – If the Course is cancelled by Oxbridge Education Network Limited, full fees will be refunded.

4.4 Visa Refusals – Students are responsible for obtaining visas. Partial refunds may be considered only upon receipt of official refusal documentation.

4.5 Postponement – Course fees cannot be carried forward or postponed under any circumstances.

4.6 Medical or Other Reasons – Students are strongly advised to take out insurance to cover cancellation, interruption, or early withdrawal due to illness or accident.

5. Insurance

Students are strongly advised to obtain comprehensive insurance covering:

  • Medical treatment and repatriation
  • Travel and personal liability
  • Course fees, cancellation, and interruption
  • Theft, loss, or damage of personal belongings

External Programmes: Insurance is also strongly recommended for participation in any external or partner-led programmes.

Oxbridge Education Network Limited is not liable for any uninsured losses.

6. Student Responsibilities and Conduct

6.1 Students must:

  • Follow all Course instructions, campus rules, and UK law
  • Behave respectfully toward staff, other students, and third parties
  • Take care of personal property and campus facilities
  • Abide by safety regulations, including fire and security rules

6.2 Oxbridge Education Network Limited reserves the right to exclude or terminate a student for unacceptable behaviour, bullying, harassment, or failure to comply with this Contract, without refund.

6.3 Students must indemnify Oxbridge Education Network Limited against any loss, damage, or claims arising from their actions.

7. Termination

7.1 Oxbridge Education Network Limited may terminate this Contract in the event of:

  • Non-payment of the full balance
  • Breach of this Contract
  • Serious disciplinary issues

7.2 Following termination, the Student is responsible for their own travel and associated costs.

8. Limitation of Liability

8.1 Participation in the Course is at the Student’s own risk.

8.2 Oxbridge Education Network Limited is not liable for:

  • Loss or damage to personal belongings
  • Injury, illness, or accident unless caused by proven negligence
  • Events beyond reasonable control (force majeure), including pandemics, natural disasters, strikes, or government restrictions

8.3 Liability for third-party providers (hotels, transport, excursions, external programmes) is excluded.

9. Medical Consent

9.1 Parents/legal guardians consent to administration of basic medications (e.g., paracetamol) unless otherwise notified in writing.

9.2 In medical emergencies, consent is given for necessary treatment, including surgery, anaesthetic, or blood transfusion.

9.3 Parents/guardians must disclose any medical conditions, allergies, or dietary requirements before the Course.

10. Travel & Arrival/Departure

  • Students are responsible for travel to and from the programme.
  • Staff supervision is provided only during programme hours and authorised activities.
  • Oxbridge Education Network Limited is not responsible for missed transport or delays outside official programme arrangements.

11. Safeguarding

  • Zero-tolerance policy for bullying, harassment, or abuse.
  • Staff are trained in safeguarding and hold appropriate DBS checks.
  • Concerns may be escalated to local authorities if required.

12. Data Protection

  • Personal data will be collected and processed in accordance with UK GDPR.
  • Parents/legal guardians have access to their child’s data.
  • Data will be retained only as long as necessary to administer the Course and comply with legal obligations.

13. Media & Publicity

  • Students may be photographed, filmed, or recorded for promotional purposes.
  • Consent may be revoked in writing.
  • Students may not engage with media or publish materials about the Course or external programmes without prior written consent.

14. Force Majeure

Oxbridge Education Network Limited is not liable for delays, cancellations, or modifications caused by events beyond its reasonable control, including pandemics, strikes, transport disruption, or government action. This applies equally to external programmes organised by third parties.

15. Complaints Procedure

  • Formal complaints must be submitted via the procedure outlined on
  • Complaints will be investigated promptly and fairly.
  • External partner programmes may have separate complaint procedures; Oxbridge Education Network Limited cannot guarantee resolution.

16. External Programmes

  • Oxbridge Education Network Limited may cooperate with external partners for certain international programmes.
  • The Institute accepts no liability for the content, safety, or management of programmes provided by external partners.
  • Students and parents/legal guardians participate in these programmes at their own risk.

17. Governing Law and Jurisdiction

These Terms and Conditions are governed by English law, with any disputes subject to the exclusive jurisdiction of the courts of England and Wales.

18. Miscellaneous

  • VAT is included in advertised course prices.
  • Students may not assign or transfer this Contract; Oxbridge Education Network Limited may assign its rights.
  • The Contract does not create a partnership, employment, or agency relationship.
  • Certain obligations survive termination, including payment, liability, insurance, publicity, data protection, and complaints clauses.
  • Severability Clause: If any provision is found invalid or unenforceable, the remainder shall continue in full force and effect.
